• Project Overview: This business proposition encapsulates the strategic evolution of IT Hardware Asset Management (part of ITAM) through the orchestrated transition from a proprietary in-house service utility, known as ABAC Assets, to the ServiceNow Hardware Asset Management (HAM) applications and modules which are available on the EC Corporate ServiceNow platform.

• Project Purpose: The SNOWHAM project aims to streamline IT hardware asset management practice by migrating current systems to the ServiceNow platform. This migration addresses critical challenges in the existing system, including data quality issues, integration complexities, and outdated processes.

• Key Challenges: The project faces several challenges, including stringent timeline constraints due to business demands and regulatory deadlines and data quality issues requiring extensive cleaning and validation efforts.

• Project Scope and Milestones: The project encompasses essential milestones such as IT item request, order form data retrieval, good reception and scanning, move, installation, inventory management, decommissioning, and asset identification updates. These milestones will ensure a systematic and efficient transition.

• Synergies and Interdependencies: Effective collaboration with ITELCM operational teams, Service Desk/IT Hubs teams, and business users is vital. Coordination with DIGIT Software Asset Management initiative as well as existing legacy platform providers (DIGIT.A.2) and technology support (DIGIT.C.6) is necessary for seamless integration. Clear data governance and product ownership at the EC and non-EC level are essential for comprehensive and inclusive solutions.

• Recommendations: To ensure the success of the HAM project, it is crucial to prioritize stakeholder alignment, streamline communication among various teams, and allocate adequate resources, both in terms of skilled personnel and budget. Addressing data quality issues collaboratively and ensuring compatibility with existing systems are paramount. Additionally, establishing clear data governance and product ownership structures will facilitate future expansions and improvements.

Context:

In the context of the EUSS (End-user Support Services) contract with the European Commission we are looking for a System Integrator (SAP Ariba, SAP S/4HANA, ServiceNow). Indicative duration of the mission: From 06/01/2025 till 31/12/2025 with extension possibility every 6 months.

Responsibilities:

• Integration & Implementation:
• Lead the design, integration, and implementation of SAP Ariba, SAP S/4HANA (FI, MM, SCM), and ServiceNow solutions to meet business requirements, including Hardware Asset Management (HAM) integration.
• Ensure seamless integrations between ServiceNow and SAP systems, focusing on accurate data synchronization across platforms, particularly asset lifecycle management.
• Collaboration & Requirements Gathering:
• Collaborate with business stakeholders and IT teams to define functional requirements, scope, and deliverables for SAP Ariba, SAP S/4HANA, ServiceNow, and HAM integrations.
• Work with business teams to capture and document detailed business and functional requirements for ServiceNow enhancements, particularly around asset management processes.
• System Design & Optimization:
• Design, configure, and optimize SAP S/4HANA modules (FI, MM, SCM) and SAP Ariba solutions, ensuring alignment with organizational needs and best practices.
• Lead the integration of ServiceNow with SAP Ariba and SAP S/4HANA, ensuring streamlined service management and asset management processes.
• Troubleshooting & Support:
• Troubleshoot, analyze, and resolve integration issues, ensuring minimal disruption to business operations.
• Monitor integration performance, troubleshoot issues, and implement optimizations to support HAM program objectives.
• Documentation & Testing:
• Develop detailed technical documentation, including integration mappings, data flow diagrams, and troubleshooting guides.
• Conduct system testing, quality assurance, and performance monitoring to ensure system integrity and reliability.
• Assist in conducting testing for HAM workflows and ensure compliance with business needs and functional requirements.
• Training & Stakeholder Communication:
• Provide user training and support to ensure smooth adoption of SAP Ariba, SAP S/4HANA, and ServiceNow solutions.
• Act as a liaison between business and technical units, ensuring all stakeholders are aligned on project goals, timelines, objectives, and deliverables.
• Lifecycle Management & Security:
• Oversee the full project lifecycle, from requirements gathering and solution design to deployment, go-live, and post-implementation support.
• Ensure alignment of integration solutions with security policies, compliance requirements, and industry best practices, including asset management standards.

Required Skills:

• Proven experience in integrating SAP Ariba, SAP S/4HANA, and ServiceNow solutions, with a focus on asset lifecycle management and integration with SAP Asset Accounting or Logistics.
• Expertise in SAP S/4HANA modules (FI, MM, SCM), SAP Ariba solutions (procurement, supplier, and contract management), and ServiceNow configuration, including ITSM and HAM.
• Strong knowledge of integration methods, tools, and middleware (e.g., SAP PI/PO, CPI, ServiceNow IntegrationHub).
• Hands-on experience with APIs (REST/SOAP) and middleware to facilitate seamless data flow between systems.
• Proficiency in ServiceNow Flow Designer, IntegrationHub, and scripting for tailored integrations, particularly in asset management workflows.
• Strong troubleshooting and problem-solving skills to resolve integration-related issues.
• Familiarity with IT asset management compliance and auditing standards, particularly related to Hardware Asset Management (HAM).
• Excellent communication skills, with the ability to translate business needs into technical requirements and vice versa.
• Strong experience with agile methodologies and tools such as JIRA.

Desirable Skills:

• SAP certification in relevant modules (FI, MM, SCM) is highly desirable.
• ServiceNow certifications such as Certified Implementation Specialist, HAM Foundation, or Integration Hub are a plus.
• Familiarity with asset lifecycle best practices and compliance frameworks.
• Experience with cloud-based integration platforms like SAP Cloud Platform Integration (CPI).
• Understanding of ITIL processes, especially those related to asset management and CMDB.
• Experience delivering HAM programs in large, complex organizations.

Additional Assets:

• Fluency in French (at least B2) is an asset; knowledge of other EU languages is a plus.
• Experience working with the European Commission is a plus.
• Bachelors degree in information technology, Computer Science, Engineering, or a related field.
• Certifications in ServiceNow System Administrator, Flow Designer, and Hardware Asset Management CIS are desirable.

Working Conditions:

• Work shifts of 8 hours covering the time range between 07h00 and 20h00 from Monday to Friday with some flexibility required when overtime is exceptionally needed.

• Possible locations:

o Another EU County: possibility to work in remote in full time (only from an EU Country) without having to travel (in Belgium/ Luxemburg) on a regular basis.
